We do our very best to make sure you are prepared before our events and know exactly what to expect. We know your time is valuable and our events run on a detailed schedule and are very organized so you can get the most out of your day.

GENERAL

How do I get to the location?

The event is located at located at:

Driving: Exit 64 Taconic Parkway.

Parking is available on site.

 

Public Transport: The nearest train station is the Amtrak Rhinecliff Station. If a number of attendees will be arriving at the same time we will coordinate pickup or group you together to organize a shared uber.

What will the schedule be like?

We always have a detailed schedule to allow you to know what’s planned and make the most out of your day.

 

Arrival: Models and Photographers are welcome to start arriving at 8am to get ready. (Info on hair and makeup TBA, but may have earlier call times). We will have a space for hair, makeup, and changing. If you are not getting hair and makeup done, please come as close to ready as possible so you are ready to start shooting around 11am.

 

Introduction: *All attendees must be on site for a 10:30am intro session.* A member of 13 Hands will be speaking about the company, provide an overview of their mission, and shed light on the horse rescue industry—what it entails, how attendees can support, donate, and get involved, etc. A brief safety introduction will cover the dos and don’ts for moving around and posing near the horses, farm guidelines and rules, and where you are allowed to be.

 

If you don’t think you will be able to be on site at this time please inform us. 

 

Photoshoots: Photo sessions will start around 11am. A detailed schedule will be given ahead of time, ensuring that every model gets the chance to work with a variety photographers at their favorite sets and locations throughout the day and will include the private horse sessions. Photo sessions will run until sunset. There is plenty of time built in for downtime. 

 

Though our team will be overseeing the schedule as much as possible, it is the models and photographers responsibility to arrive on time to each of your scheduled sessions to ensure we stick to the schedule and have enough time to shoot.

 

Lunch: An afternoon picnic setup for lunch and photo ops will take place in the late afternoon.

 

The full schedule and confirmation on this timing will be sent out to all attendees a week prior to the event.

How do photoshoots work?

Attendees will have the opportunity to shoot at various picturesque locations throughout the 113-acre private horse farm. With distinct shooting locations available, models and photographers can spend the entire day capturing stunning images in charming stables, rolling pastures, quaint paddocks, tree-lined dirt roads, rustic barns, and more. â€‹â€‹

What should I wear and bring?

Please dress appropriately for a working farm—wear boots or sturdy closed-toe shoes and dress in layers based on the weather. We recommend bringing a water bottle, snacks, a phone charger, and business cards or other networking materials.

What are the facilities like?

In the morning, models will have access to a spacious main room in the on-site Airbnb, offering a comfortable and stylish environment to prepare for the day’s shoots. The space will provide a cozy setting for early morning preparations, allowing models to relax, have coffee and tea, and get ready before heading out to the various outdoor locations.

For the rest of the day, an outdoor gazebo building will serve as the central hub, providing a convenient space for models to change outfits, do touch-ups, and unwind between shoots. 

​

Please dress appropriately to walk around on a working farm and bring layers as we will be outside most of the time.

Where can I stay overnight?

The Tuscan Way House is located on the property just next to a paddock of beautiful horses, with a heart shaped pond is visible from the front porch, and is available for attendees to stay overnight one or both nights. 

 

The house offers spectacular views of the hills and the horses from every window, a large two-story vaulted living room with a large stone fireplace, gourmet kitchen with expansive seating and dining areas, cozy bedrooms with queen size beds, porches outfitted with Adirondack chairs, a fun recreation room with pool and ping pong tables perfect during downtime , and peaceful reading room for unwinding in the evenings.

Will there be food?

Complimentary refreshments and snacks will be available during breaks between activities. A picnic lunch charcuterie style will be provided mid-afternoon. Attendees are invited to meet up for dinner and drinks at a nearby restaurant after the shoot. Please let us know If have food allergies.

What if it rains?

Rain date TBA. Emails will be sent out with any date change due to inclement weather. Covered areas are available if there's light showers throughout the day.

What if I need to cancel?

If you need to cancel your registration for the event, please notify us as soon as possible.

 

Cancellations made before 3 weeks prior to the event will be eligible for a full refund of the registration fee. Cancellations made within 3 weeks of the event date will be subject to a partial refund. No refunds will be issued for cancellations made within one week before the event or for no-shows.

 

Refunds will be processed back to the original method of payment within 10 of the cancellation request. Please allow for processing time and note that it may take several business days for the refund to appear in your account. 

Do you accept payment plans?

Payment plan options are available at checkout through Afterpay, Affirm, and Klarna through WIX. If buying a ticket outside of WIX, your specific payment plan will be written on the invoice.

What does my ticket include?

Model Tickets Include:

What should I wear?

Staying within the Medieval Fantasy theme is encouraged, but you are welcome to bring looks of any theme you would like to shoot in. Models are responsible for providing their own wardrobe unless previously agreed upon look rentals were made. While a variety of dresses, headpieces, and accessories will be available for use, please arrive with at least one complete look, as sizes and styles will be limited. Garment racks will be on-site. ​

​Ideas: Flowing gowns, dresses with bell sleeves, corsets and bodices, layered skirts, cloaks, capes, and armor, robes, tunics. Accessories like circlets, crowns, leather belts, arm cuffs, gloves, and bracers. Props such as spell books, staffs, potion bottles, weapons, and lanterns. You must wear sturdy boots or closed-toe shoes when working alongside the horses. Otherwise, lace-up shoes, slippers, or even bare feet are acceptable.

What should I bring?

Models should come prepared with touch-up hair and makeup supplies, a small mirror, at least one full photoshoot look, and any jewelry, accessories, or props (weapons are allowed). It's a good idea to have a robe, sweater, or cover-up for between shots.

What is the private horse photo session like?

Your ticket includes ONE private, one-on-one with a professional featured fantasy photographer and horses. A sign-up sheet closer to the event will allow you to select your preferred photographers and time on a first-come, first-served basis. Add on session are available. 

 

Please note that models booking more than two sessions may have repeat photographers and/or locations due to scheduling and availability. 

How many photos will I receive?

Models will receive at least three professionally edited photos per private session from the FEATURED photographers. While three is the minimum, our photographers will aim to deliver as many high-quality images as possible.

GUEST photographers will be shooting at a more flexible pace throughout the day. There is no set requirement for the number of images they must share after the event, but they are encouraged to capture as many models as possible during open sessions. This allows both photographers and models to expand their portfolios and enhance their experience.

​ Additionally, our team will be capturing behind-the-scenes photos and videos throughout the event. 

Will there be hair and makeup?

Hair and makeup are available as add-ons when you purchase a ticket.

​

If you do not opt for with hair and makeup services, please be prepared to do your own. There will be space on-site for you to get ready, feel free to bring any supplies. A small tabletop mirror is encouraged. For those with morning shoots, arriving as close to hair and makeup ready as possible will help ensure a smooth start. 

​

​Models who have booked the hair and makeup will been assigned 1-hour time slots. Given the limited time and tight schedule, we recommend opting for simple hair and makeup looks. Light prep, like applying foundation or adding a few curls, will help maximize the time. Be sure to bring reference images or a mood board to guide your stylist.

How and when will I get my photo edits?

A Google Photos link will be shared the day of the event for everyone to post BTS content. A Google Drive link will be sent out the following week with galleries for all photographers to begin uploading edited photos. Within two months after the shoot date a gallery will be shared with all edited photos and videos. All team members will be given social tags and encouraged to credit when posting.

 

Featured photographers with private sessions have been asked to upload their edits within 60 days after the event.

What should I bring?

There will be no equipment on site - photographers should bring cameras, reflectors, batteries and any props or special equipment for creative shots. Please be advised you may be asked not to use flash or reflectors with some animals. 

Am I required to shoot a certain amount or share my images?

There is no limit or specific requirement on the number of photos that may taken during the Event. However, everyone is encouraged to photograph as many models as possible during open sessions to maximize both my experience and portfolio, as well that of the models attending. While not required, sharing a selection of my edited images with the attendees and event organizer is encouraged, as these may be used for promotional purposes or future event materials. Everyone will receive a link to a Google Drive folder where I can upload my photos, and will make an effort to do so within 60 days of the event. Any photos I upload to the shared Google Drive folder will be accessible to the full team - including models, hair and makeup artists, designers, the photo studio, and any other contributors - for their personal use and professional promotion. These images may not be sold or used for profit without my permission.
